Office Administrator

Based in Rocky Hill, CT

The Connecticut AFL-CIO is a federation of hundreds of local unions representing 250,000 active and retired workers in the private sector, public sector, and building trades.

The Office Administrator provides administrative and bookkeeping support to the officers, staff, and members of the Connecticut AFL-CIO. This role is critical in ensuring the smooth and efficient operation of the organization. Key responsibilities include various bookkeeping duties, assisting the accountant as needed, invoicing affiliate unions, managing the office and building contractors, and providing general administrative support.

RESPONSIBILITIES

  • Administrative Support
    • Administrative support for officers and staff.
    • Taking notes and writing meeting minutes for all executive board and Committee on Political Education meetings.
    • Draft correspondence for officers (e.g. thank you letters, invitations, scholarship winners, etc.).
    • At large federation events, assist with check-in, passing out materials, and other duties as necessary.
  • Office Management
    • Receive, route, and respond to phone calls to the office.
    • Receive and send mail and packages.
    • Order office supplies.
    • Manage building contracts and contractors.
  • Bookkeeping Support
    • Update and maintain the federation’s affiliate list.
    • Send invoices to affiliates.
    • Provide monthly reports to the Secretary-Treasurer.
    • Deposit checks.
    • Review and verify all charges and invoices to the federation.
    • Work with the accountant on all other financials as necessary.

QUALIFICATIONS

  • At least 2-3 years’ experience in an administrative support role preferred.
  • Excellent proof-reading ability and eye for detail.
  • Excellent verbal and written skills.
  • Professional, courteous and tactful.
  • Proficient with Microsoft Office and Google Suite.
  • Ability to learn how to use LaborKey, the federation’s affiliate and invoicing management system.
  • Experience with Zoom and other virtual conference technology.
  • Excellent organizational skills.
  • Experience with the labor movement preferred but not required.

HOURS

The position is part-time, up to 30 hours a week, Monday through Friday, typically 5-6 hours per day. The workday is normally 8:00 a.m. to 2:00 p.m., but hours may be flexible upon mutual agreement with the President.

COMPENSATION & BENEFITS

The hourly wage and benefits are set by the collective bargaining agreement with OPEIU Local 153.
